Key Responsibilities:
Project Coordination and Support:
Serve as the key coordinator, liaising with Project Managers and consultants involved in new retail asset development, while assisting in coordinating functions and activities initiated or led by the Senior General Manager’s office.
Document Control and Management:
Serve as the document controller for special projects and assignments, while organizing and maintaining a comprehensive filing and retrieval system for all documents in the Development Management office.
Policy Implementation Monitoring:
Track and follow up on the execution of policy decisions to ensure timely and effective implementation.
Timeline and Deadline Management:
Oversee and follow up on timelines, track deadlines, and ensure progress on action plans arising from meetings, planning sessions, and assignments by department heads.
Liaison Role:
Act as the primary liaison between the Senior General Manager and key stakeholders, both internal and external to the organization.
Landlord Provisions Management:
Collaborate with PICs of existing operating retail assets to facilitate and follow up on various Landlord Provisions outlined in the Sunway Malls Guide.
Knowledge Portal Management:
Establish, continually improve, and update the Development Management M-Drive Knowledge Portal as a key online reference system for tacit knowledge (Sunway Malls Planning and Development Guide Information).
Pre-Opening Planning:
Organize and prepare for future mall pre-opening plans to ensure seamless execution.
Educational Background:
Bachelor’s degree in Project Management, Business Administration, or a related field.
Experience:
Minimum 2-3 years of experience in project coordination, document control, or related roles, preferably in property development or retail asset management.
Project Management Skills:
Proven ability to coordinate and support multiple projects, liaise with internal and external stakeholders, and ensure timely completion of project deliverables.
Organizational Skills:
Strong ability to establish and maintain comprehensive filing and retrieval systems for project documentation.
Policy Implementation and Monitoring:
Familiarity with tracking and following up on policy decisions and action plans arising from meetings or strategic initiatives.
Time Management:
Skilled in managing timelines, tracking deadlines, and ensuring adherence to project milestones.
Interpersonal and Communication Skills:
Ability to effectively liaise with Senior Management, Project Managers, consultants, and external stakeholders to facilitate seamless communication and coordination.
Knowledge Management:
Experience in establishing or maintaining online knowledge portals or systems, with the ability to continuously improve reference systems for organizational use.
Retail Asset Development Knowledge:
Understanding of landlord provisions, retail asset planning, and development guidelines, with prior experience in facilitating project-specific requirements.
Pre-Opening Experience:
Ability to organize and prepare detailed plans for pre-opening activities for malls or similar developments.
Attention to Detail:
High level of accuracy and attention to detail in managing project documentation, timelines, and stakeholder requirements.
Proficiency in Tools:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), project management tools, and document control systems.
